These regulations are intended to clarify how the event organizers will handle and use personal information collected when applying to become a registered photographer.

1. Purpose of collecting personal information

  • The personal information collected will only be used to manage the registration of photographers at the event and to ensure its smooth running.
  • We will use your personal information primarily for the following purposes:
    • Authentication and identity verification of registered photographers
    • Notification of important event information
    • Safety management and troubleshooting during the event

2. Scope of personal information collected

  • When applying, you will be asked to provide the following information:
    • full name
    • address
    • Phone number and email address

3. How we manage your personal information

  • The collected personal information will be stored securely under appropriate management systems and will be promptly disposed of one week after the event ends.
  • Access to personal information will be limited to event managers and a minimum number of staff members, and the latest security measures will be implemented to prevent unauthorized access or leaks.

4. Recipients and sharing of personal information

  • We will not provide or share the photographer's personal information with any third parties other than the event organizers, except in the following cases:
    • When disclosure is required by law
    • When it is necessary to ensure safety in an emergency or to resolve a problem

5. How long will your personal information be stored?

  • After the event, personal information will be stored for one week. During this period, it may be used to respond to inquiries from registered photographers and for follow-up regarding the event.
  • After the storage period has expired, the operator will safely delete and dispose of the personal information at its own responsibility.

6. Inquiry, correction, and deletion of personal information

  • If a registered photographer requests to inquire about, correct, or delete their personal information, the management will respond promptly after verifying their identity.
  • For inquiries regarding the handling of personal information, please contact the person in charge of personal information management (Yokai-ya LLC, Aida). Contact details are listed on the application form or on the website.

7. Disclaimer

  • This event strictly manages personal information, but in the unlikely event that an information leak occurs due to an unforeseen event, we will promptly contact the photographers and take appropriate measures.
  • Furthermore, if improvements are required regarding the management of personal information, we will comply with relevant laws and regulations and revise our regulations as necessary.
